Acceptable Use Policy

This Acceptable Use Policy ("AUP") governs your use of the TailHQ platform (the "Service") operated by Node Works Ltd ("Company", "we", "us", or "our"), a company registered in the Republic of Kenya under registration number PVT-MKULZYM. This AUP is incorporated into and forms part of our Terms of Service.
By using the Service, you agree to comply with this AUP. We may update this AUP from time to time, and your continued use of the Service constitutes acceptance of any changes. Violation of this AUP may result in suspension or termination of your account.
Intended Use
TailHQ is designed as a veterinary practice management platform. The Service is intended for use by veterinary professionals, clinics, hospitals, and related businesses to manage their practice operations, including but not limited to patient records, appointments, billing, inventory, and client communications.
Prohibited Activities
You may not use the Service to:
Illegal or Harmful Activities
- Violate any applicable local, national, or international law or regulation
- Store, transmit, or distribute any content that is unlawful, harmful, threatening, abusive, harassing, defamatory, vulgar, obscene, or otherwise objectionable
- Engage in any form of fraud, deception, or misrepresentation
- Facilitate or promote illegal activities, including but not limited to money laundering, illegal gambling, or trafficking
- Infringe upon the intellectual property rights, privacy rights, or other rights of any third party
System Abuse
- Attempt to gain unauthorised access to the Service, other user accounts, or any computer systems or networks connected to the Service
- Interfere with or disrupt the integrity or performance of the Service or the data contained therein
- Introduce malware, viruses, worms, Trojan horses, or any other harmful or malicious code
- Use the Service to conduct denial-of-service attacks or any form of network abuse
- Circumvent, disable, or otherwise interfere with any security-related features of the Service
- Use automated tools, bots, scrapers, or similar technology to access or interact with the Service beyond the intended API usage, unless expressly authorised by us
- Attempt to reverse engineer, decompile, or disassemble any part of the Service
Data Misuse
- Store data that is unrelated to the legitimate operation of a veterinary practice or business
- Use the Service to collect, store, or process personal data in violation of applicable data protection laws
- Share, sell, or otherwise distribute customer or patient data obtained through the Service to third parties without proper authorisation
- Use the Service to send unsolicited bulk communications (spam) to individuals who have not consented to receive them
- Store any data classified as Sensitive Personal Data under applicable laws (e.g., human health records, biometric data, genetic data) beyond what is necessary for legitimate veterinary practice operations
Resource Abuse
- Use the Service in a manner that consumes excessive bandwidth, storage, or computing resources that could degrade the experience for other users
- Use the Service as a general-purpose file storage or backup solution beyond its intended scope
- Resell, sublicence, or redistribute access to the Service without our express written consent
- Allow third parties to use your account credentials or share your account with unauthorised individuals
Your Responsibilities
As a user of the Service, you are responsible for:
- Ensuring that all data you input into the Service is accurate, lawful, and collected with appropriate consent from the relevant data subjects
- Maintaining the security and confidentiality of your account credentials
- Ensuring that all users within your organisation who access the Service comply with this AUP
- Complying with all applicable laws and regulations regarding data protection, veterinary practice, and professional conduct in your jurisdiction
- Promptly reporting any suspected security incidents, breaches, or violations of this AUP to us at hi@tailhq.com
Monitoring and Enforcement
We reserve the right, but are not obligated, to monitor the use of the Service for compliance with this AUP. We may investigate any reported or suspected violation and take appropriate action, including but not limited to:
- Issuing a warning to you
- Temporarily suspending your access to the Service
- Permanently terminating your account
- Removing any content that violates this AUP
- Reporting the violation to the relevant law enforcement authorities
We will endeavour to provide reasonable notice before taking enforcement action, except in cases where immediate action is necessary to protect the Service, our users, or third parties.

If you become aware of any violation of this AUP, please report it to us at hi@tailhq.com. We take all reports seriously and will investigate promptly.
